As the financial manager you’re responsible for the smooth flow of our money so that it’s tracked and spend purposefully. The following are your responsibilities or tasks that you’re in charge of.

These are the key transactions like taking client payments, paying contractors and transactions for project assets. This includes correctly recording each record but then doing a monthly reconciliation to ensure that everything has been recorded correctly.

Where are we spending our money and what are we forecasting for the future? You will be key in making decisions such as hiring new people and planning for the future.

Similar to managing transactions but specifically you’ll be asked to create a quote or invoice to provide client with documentations they need to get approved. You will be working with project managers to create and send.

You will also be in charge of reminding project managers who’s payments are up-to-date or that need to be corrected. Who still needs to pay and when to expect that.

We use a tool called Paystand to run credit card, ACH and echeck transactions. This will include setting up recurring payments and managing those if client cancels or pauses their subscription.

We will need your help keeping numbers straight with our subscription packages. Clients want to know where their time is being spent and how many hours they have remaining. You’ll help build reports and reviewing them for accuracy so that project managers can confidently talk with customers.

We want our team to be will equipped to do their job. There are times they want to buy an educational program and have tools on hand to use. You will help approve or budget for these expenses.

You will also run payments to our contractors. This includes our regular team members as well as tools such as Upwork for others we use here and there.

It’s easy to buy monthly software tools but those expenses can add up. Are we still using that tool? Is that monthly expense a waste? You will help us manage and review our subscriptions to ensure we still want what we’ve signed up for.

The following lessons include videos that will guide you through each of these.
