Like mentioned before, we pay attention to the hours spent on a project because it&#8217;s our metric for tracking and billing clients. Let&#8217;s talk about tools and perspectives that you should use in managing your time and efforts while working.<\/p>\n<h3>Daily Routines<\/h3>\n<p>As talked about in Atomic Habits, your processes determine your outcomes. Having healthy routines will help protect you and your efforts. We highly suggest you create a daily routine that includes the following<\/p>\n<p><strong>Project Review<\/strong><\/p>\n<p>To ensure clarity on the progress of your assigned projects, it is recommended to utilize a personalized view at the beginning of each workday. Take note of any updates and leave comments accordingly, including if you are currently waiting on someone else. If you find that a particular project is taking longer than expected and a deadline adjustment is necessary, make the appropriate changes. By consistently reviewing your workload and leaving detailed comments, you can minimize any ambiguity and ensure everyone is aware of the status of active projects.<\/p>\n<p><strong>Responsiveness<\/strong><\/p>\n<p>Stay informed and keep everyone in the loop by regularly checking project comments. Additionally, make it a habit to review notifications and tasks to ensure that nothing is falling through the cracks and that you are promptly responding to your team members and clients.<\/p>\n<p><strong>Set Goals<\/strong><\/p>\n<p>As someone committed to mastery in their craft, it&#8217;s essential to continuously seek ways to improve. One effective method is through goal setting. Here are a few proactive approaches:<\/p>\n<ul>\n<li><strong>Tasks<\/strong>: Setting specific tasks enables you to break down a project into manageable pieces. By establishing a deadline for each task, you can motivate yourself to complete them within a set timeframe.<\/li>\n<li><strong>Deadlines<\/strong>: Use the &#8220;Next Deadline&#8221; feature to communicate when the subsequent phase of the project will be completed. To exceed client expectations, aim to deliver updates ahead of schedule, such as finishing a task in three days instead of the expected five.<\/li>\n<li><strong>Hours<\/strong>: If a task typically takes five hours to complete, strive to find ways to accomplish it in three. This not only demonstrates your efficiency but also contributes to the overall profitability of the company.<\/li>\n<\/ul>\n<p><strong>What&#8217;s New<\/strong><\/p>\n<p>Allocate some time to stay informed about the latest industry news and trends. By dedicating a small portion of each day to reading industry news, participating in webinars, attending conferences, or exploring new tools and techniques, you can enhance your skills and develop a deeper understanding of their craft.<\/p>\n<p><strong>Learning<\/strong><\/p>\n<p>In line with staying current with industry trends, cultivating a daily habit of learning is crucial for personal and professional development. Seek out new techniques and methods that you can experiment with and potentially implement within our team. Not only will continuous learning benefit your own growth, but sharing your findings with the team can foster a collective culture of growth and innovation. By actively seeking to improve your skills and sharing your insights with others, you contribute to the overall progress and success of our team.<\/p>\n<p><strong>Routine Examples<\/strong><\/p>\n<h3 dir=\"ltr\">Time\/Clock Tracker<\/h3>\n<p>To best understand how long we need to budget for projects we look at past projects. We look at the time tracked so that we can have a realistic understanding of what it takes. It is critical that you track your time accurately.&nbsp;<\/p>\n<p><span style=\"font-size: 17px;\">Take a minute to find a solution that works for you in tracking your time. In this video, I give you several options and the one I recommend is <a href=\"https:\/\/clockify.me\/\" style=\"outline: none;\">Clockify<\/a>. The goal is not to make an added burden for you\u2014I know how that feels\u2014but instead to accurately track our projects. Please let us know what tool you choose to use. Clockify actually works with Podio. You\u2019ll notice it throughout Podio.<\/span><\/p>\n<h3>Fill Out Your Timesheets<\/h3>\n<p>Here&#8217;s a quick reminder to make sure you are filling out your timesheets. Yes, even right now as you&#8217;re going through this training. Get used to filling out timesheets for pretty much everything you are doing to help clients and Socialize Video.<\/p>\n<p>Even though we&#8217;ve talked about this it&#8217;s good to remind you. What about time that you spend reviewing project, what do you do with the 1 min here, and 3 mins there?&nbsp;<\/p>\n<p>The key thing you want to do is try to place time on an active project. Those 5 mins you spent reviewing several projects an updating others can easily be included in a 4 hour time sheet on your main project for the day.<\/p>\n<h3>Your Schedule<\/h3>\n<p>For most of you we don&#8217;t require you to work specific hours. We want you to have the freedom to manage your own time and do what&#8217;s best for your situation. It&#8217;s critical that you work to communicate well and be responsive to others on the team.&nbsp;<\/p>\n<p>Go to the Schedule app in Podio and create an item attached to your name. Make sure to:<\/p>\n<ul>\n<li>Enter your regular working schedule in both Utah time and your local time.<\/li>\n<li>Enter this week&#8217;s schedule if different than your normal.<\/li>\n<\/ul>\n<h3>Reaching Profitability<\/h3>\n<p>Our goal is to maintain profitability, and your contributions to finding more efficient ways of working, improving your skills, and working smart will greatly benefit the company. We offer a profit sharing program to those who are invested in the success of Socialize Video. Here are a few ways you can help us achieve greater profitability with your time.<\/p>\n<p><strong>Speed<\/strong><\/p>\n<p>As an example, let&#8217;s consider a typical social media post video content that we produce for a client. Normally, this project takes around 6 hours to complete. However, by using new and innovative methods, you have discovered a way to complete the task in just 3 hours.<\/p>\n<p>Depending on the manager&#8217;s preference, we can either continue billing the client for 6 hours, thus increasing the profitability of Socialize Video, or inform the client of our newfound efficiency and offer to complete additional projects with the saved time and budget. This could strengthen the client&#8217;s trust in us and lead to further business opportunities.<\/p>\n<p>Alternatively, we could find a middle ground and inform the client that we have been able to reduce the completion time by an hour, which would still bring value to the client and add to our profitability.&nbsp;<\/p>\n<p><strong>Creativity Quality<\/strong><\/p>\n<p>While it&#8217;s true that clients are usually concerned about their budget, many of them prioritize quality over cost. Ultimately, the end result of the project is what matters most to them. Therefore, it&#8217;s important to take the time to add elements that elevate the overall quality of the project. This could mean spending an extra 30 minutes to add an additional detail that sets the work apart and makes it stand out. By prioritizing quality, we can exceed the expectations of our clients and establish ourselves as a trusted and reliable partner for their creative needs.<\/p>\n<p>To a client seeing the final quality makes paying additional time worth it. For example, in the below video made for SRA, they initially just asked for us to do a quick edit of this interview. We took the time to create a quick logo animation, cut the two angles, add graphical elements calling out key text, and more. This extra detail really impressed the client and added value to their brand.<\/p>\n<p><strong>More Ideas and Content<\/strong><\/p>\n<p>Adding value to a project can also be achieved by coming up with additional ideas that could benefit the client. For instance, while working on a 60-second video, you may realize that there&#8217;s an opportunity to create two shorter versions that can be posted on social media. These new versions may only take 30 minutes to cut and adjust, but it can significantly increase the overall value of the project. The manager can potentially bill additional time to the customer for this added value, while also demonstrating our commitment to providing exceptional service and exceeding their expectations.<\/p>\n<p>The key principle to keep in mind is to always provide value to the client while also optimizing our resources to improve the profitability of the company.<\/p>\n<h3>Estimated Vs Actual<\/h3>\n<p>As a communication company, it is crucial that we establish good communication with our clients. Accurately communicating estimated time versus actual time is especially important.<\/p>\n<p>When you receive a project, your responsibility is to estimate how long it will take to complete. With previous experience and access to our Podio database, you can make an informed estimation. It is important to consider not only the number of hours it will take but also the timeline for completing the project.<\/p>\n<p>It is crucial to focus on your part of the project and what you can control, rather than worrying about external factors such as client feedback or changes. Our project managers are experienced in handling such challenges.<\/p>\n<p><strong>Deadlines<\/strong><\/p>\n<p>Use the deadline date feature in Podio:<\/p>\n<p><strong>Creative Brief &amp; Project Details<\/strong><\/p>\n<p>In order to ensure that you fully understand the project requirements, style, and your specific role in the project, it&#8217;s helpful for the project manager to provide a creative brief. However, if a creative brief is not available, you can take <strong>20-30 minutes to gather examples<\/strong> and ideas that demonstrate your vision for the project.<\/p>\n<p>This can be a valuable tool in setting clear expectations and aligning with the client&#8217;s goals. Collaborate closely with the project manager to ensure that you have a comprehensive understanding of the project scope and your responsibilities.<\/p>\n<p><strong>Level of Creativity<\/strong><\/p>\n<p>It&#8217;s crucial to bear in mind that creativity takes time, especially if the client values it. Creative ideas can strike at any moment, but they don&#8217;t come when we&#8217;re in a hurry. If a client wants us to brainstorm and take the time to be creative, we must factor in that time into the budget. This time will enable you to explore several approaches to a project thoroughly.<\/p>\n<p>This additional time is particularly essential when a client doesn&#8217;t have a clear vision and needs to see various concepts visually before making a decision.<\/p>\n<h3>Client Preferences<\/h3>\n<p>One key way to save from making mistakes and having to redo projects is by understanding what we&#8217;ve learned about the client&#8217;s preferences.&nbsp;<\/p>\n<p>Similar to other areas, this is not exclusive to the project manager but key for everyone to update. In this section you should note such things as:<\/p>\n<ul>\n<li>The way the client likes to communicate<\/li>\n<li>How files should be named<\/li>\n<li>The flow of typical projects<\/li>\n<li>Template files<\/li>\n<li>Colors<\/li>\n<li>Music preferences<\/li>\n<li>Compliance disclaimers<\/li>\n<\/ul>\n<p>When you are assigned a project the client preferences is a key place where you can understand key ways that we work with a client as well as past templates we have used.
