As you may have noticed in the first module, we utilize Podio as our project management tool. Podio enables us to create a tailored system for tracking projects and organizing essential details in one place. In short, it helps us stay on top of things, allowing you to focus on your creativity.<\/p>\n
During your initial two weeks, it’s crucial to familiarize yourself with our Podio systems. Get to know the typical actions and style of project flows. Take the time to review ongoing projects and observe how other team members contribute.<\/p>\n
First you’ll need to get used to Podio. Watch the following video and participate by following the instructions.<\/p>\n
If you need help staying organized, don’t hesitate to seek advice from your mentor. However, we have found that the following practices are particularly helpful as daily habits:<\/p>\n
One of the first things you need to do is to start tracking your time diligently. Many of our customers are subscribed to a package where the hours we work are deducted from their purchase. Failing to log your time not only affects your salary payment but also deprives us of the opportunity to charge the client appropriately.<\/p>\n
However, don’t worry too much about your time negatively affecting a client. For your first few projects, your hours may not affect the client. We understand that you are still in the learning process, and it’s normal to take a bit longer. We want you to take the time you need to learn and understand our systems. Your mentor and project manager will ensure that the hours billed to the client are fair and accurate.<\/p>\n
Now for your next exercise which will help you practice in Podio and continue to learn how to use our system. You’re going to create your first timesheet.<\/p>\n
Meeting with your mentor is crucial when starting a new position. It’s recommended that you schedule a meeting with them as soon as possible and continue to meet with them several times during your first month. They are there to assist you in achieving success and are a valuable resource for any questions or clarifications you may need. If they don’t have the answer, they can connect you with the right person who does.<\/p>\n
During your meetings with your mentor, it’s essential to cover the following topics:<\/p>\n
Starting a new job can be daunting, and it’s easy to get overwhelmed with everything that needs to be learned and accomplished. However, it’s essential to remember that nobody expects you to know everything right away. We encourage you to take things step by step<\/strong> and not be too hard on yourself. Starting small and building on your knowledge over time will set you up for success in the long run.<\/p>\n One of the best resources you have is your mentor, who is there to help guide you through your training and ensure you have the support you need to excel. Don’t hesitate to communicate with your mentor, and ask any questions you have. They are there to help you and provide valuable insights into how things work within the company. If you feel yourself getting overwhelmed, reach out to your mentor or manager and ask for help. It’s better to ask for assistance<\/strong> than to struggle on your own and fall behind on your projects.<\/p>\n We understand that starting with too many projects at once can also contribute to feeling overwhelmed. If you find yourself in this situation, please give us feedback, so we can adjust accordingly. We want you to have enough projects to understand our process and get to know your role, but not so many that you feel buried under an impossible workload. Working with your mentor and manager to find the right balance is key to your success and will help set you up for long-term growth within our company. Remember, we are all here to support you and help you thrive!<\/p>\n Communication is a vital part of our work here, and it’s essential that you understand how it works within our team. As a new employee, we encourage you to communicate regularly with your team members, especially when it comes to valuable information that can help the client understand where we’re at in the process. By providing updates and advice, you can help ensure that the project is more effective and efficient.<\/p>\n It’s important to speak in terms of the timeline, so everyone understands when you will be working on the project and when it will be completed. If you have any questions or concerns about the estimated hours or timelines, it’s important to communicate that with your project manager up front.<\/p>\n Please know that you<\/em> can set timelines for your tasks based on your best guess if the project manager hasn’t. As you get better at your job we’ll rely on your estimates. How can we complete the project quickly and correctly more efficiently?<\/p>\n Remember, communication is a two-way street, and it’s important to not only communicate your needs but also listen to the needs of others. Keep your focus on what’s best for the client working with other team members being proactive in getting the work done.<\/p>\n To be clear, if your power goes out or a family member has an emergency, take a few seconds to message a manager about your status and when you can next check in. Projects can be shifted to another team member and you can be accommodated. A period of more than 7 days without any communication can result in termination.<\/p>\n Communication Examples<\/strong><\/p>\n As you work through projects you need to be specific and exact enough that your project manager understand what you are doing and that you understand well enough what needs to be done.
