Clients who want us to manage a video shoot expect us to handle everything smoothly and flawlessly. They rely on us to find the right people for the job and ensure that the quality of the final product is top-notch. They don’t want the stress of going through the process of finding a video team themselves.

So, let’s discuss how you can achieve these expectations.

One possible approach to better plan a client’s video shoot is to conduct a creative session with them, in which you ask questions about their requirements and preferences. To illustrate this point, here’s an example of how such a meeting could unfold.

Your first step is to fill in all the key areas of the script document. Let’s review a bit.

Script

It’s important to complete both the Audio and Visual columns to give a clear understanding of what needs to be captured during the video shoot. However, in some cases, the audio may not be exactly what we hope to capture through interviews. It’s still okay, but it’s crucial to review this with the video professional and work together to craft questions that can help capture the necessary sound bites.

Checklist of Shots

Fill out the Visual column in advance, which will provide a clear checklist of shots needed for the shoot. This will allow the video professional to review the script and understand the overall vision for the video. Later, they can reference the Checklist of Shots while on the shoot to ensure all necessary footage is captured.

Note that Audio Text Only may be used if a teleprompter will be used during the shoot. Consider making a separate page for these guidelines if needed.

Checklist Before Filming

Review the Checklist Before Filming with the client to ensure everything is ready for the day of the shoot.

Quality Standards For Video Professionals

This page aims to provide clarity to video professionals. There can be different interpretations of what constitutes good or quality work, and this video can help to clarify some of our expectations for their work.

Proposed Filming Schedule

It is crucial to establish a plan once the video professional has been selected and the filming date has been scheduled. This includes prioritizing important shots, such as filming a key individual who may only be available at a certain time or taking advantage of optimal lighting conditions. By creating a schedule that prioritizes these key elements, the video professional can prepare accordingly and ensure that the day runs smoothly.

Call Sheet

This is a crucial page that the video professional will most likely refer to the most during the shoot. Therefore, it’s essential to ensure that it’s fully completed. If necessary, you can move details from other pages to this page. You can have this partially filled out when searching for a video professional, and completed well in advance of the filming date.

Roles

Fill this out to make clear who is doing what during the shoot so the team works together.

Timeline

A great way to set up a plan for what will happen when in the shoot and who’s doing what. This can be done in Podio as well but this is here in case you could use it.

This video is a little bit older but it’s still helpful

After finalizing the script document, it’s time to assemble the ideal team for filming. There are various options available, including independent contractors who work alone, and production houses consisting of a collaborative team that may outsource work to independent contractors.

Ideally, an independent contractor would be preferred for filming, with the ability to bring in a second shooter, audio person or assistant if necessary. It is essential to ensure that the contractor has the necessary resources to execute the plan successfully and can manage the shoot professionally while communicating effectively with the client. This requires a unique set of skills and personality traits, which not all film professionals possess.

A production house can also be considered, but if they outsource work and mark up the price without adding significant value, it may not be the best option. However, if they can send out a team that works well together, it could be a suitable fit.

Ask Client

To gain a better understanding of the client’s local area without burdening them, there are a few questions that you can ask. The goal is to ensure that you are prepared to find the right video professional for the job.

Firstly, inquire about the name of their area and how locals refer to it. Knowing this information will help you target the correct Craigslist area and Facebook groups when advertising. For instance, Kennewick, Washington is part of the Tri-City area since it consists of three primary cities. Similarly, my hometown is called Midway but falls under the Heber Valley area.

Secondly, ask about the nearest major market in their area. This information will help you understand if they reside in a small town and which market to search in for a quality videographer. It will also assist you in determining the appropriate Craigslist market to advertise in.

Video Pro Search
