It is essential to keep team members well informed when customers are ready to proceed or are close to moving forward with their projects. In this training, you will learn how to use our project management software, Podio, and other tools to facilitate proactive communication and efficient management of client projects. Before starting a project, it is crucial to have a clear understanding of the project’s goals and the client’s expectations. <\/p>\n

Gathering Assets<\/h3>\n

It’s important that we emphasize the significance of having the correct assets before moving forward on a project. When we receive assets from a client, such as a logo, we need to ensure that it is in the correct format, such as a vector file, and not just a finite-sized pixel version. If we proceed with the wrong assets, it can result in wasted time and resources, and ultimately delay the project.Review any assets received from the client promptly. Within 24 hours of receiving<\/strong> any materials, take the time to confirm that they are correct, fully usable, and meet the required resolution. If there are any issues or missing assets, communicate with the client as soon as possible to prevent any misunderstandings or delays. Never assume that all necessary assets have been received.<\/p>\n

Another good example is when a client uploads footage that they promised us. We need to check to make sure it’s the footage, size and quality we expect.<\/p>\n

Dropbox Upload Links<\/h3>\n

Dropbox Request Links are a feature in Dropbox that allows you to collect files from others, even if they don’t have a Dropbox account. With Dropbox Request Links, you can create a link to a folder or specific location in your Dropbox account and share that link with clients or collaborators. The recipient can then upload files directly to that location in your Dropbox account without needing to sign up for a Dropbox account or have access to the rest of your Dropbox files.Using Dropbox Request Links can be a convenient way to get files from clients or collaborators, as it eliminates the need for them to email files or use other file transfer services. You can also use Dropbox Request Links to keep all project files organized in one location, making it easier to keep track of everything.<\/p>\n

To use Dropbox Request Links, you simply need to create a link to a specific folder or location in your Dropbox account, and then share that link with your client or collaborator. They can then use that link to upload files directly to your Dropbox account.<\/p>\n

More recently we have been creating an UPLOADs folder in the client library as a general place for clients to upload files then we move it to the projects we need.<\/p>\n<\/p>\n

Adding To Podio – New Customer<\/h3>\n

Use Podio to stay organized. That includes adding a new or potential customer. There are two locations. We have a Leads app where mostly sales tracks their work and then there’s the Client’s app in the main Socialize Projects workspace. This is where you can place someone that we’re more likely to turn into a customer.<\/p>\n

In the previous lesson you should have seen a video of the scripting session with HyperSocial. In this video I show you how to set them up as a client and then get their project setup and a plan put together.<\/p>\n

Proposed Timeline<\/h3>\n

Having an estimated timeline for a project is crucial for several reasons.<\/p>\n

Firstly, it allows us to set clear expectations for the client about when they can expect the work to be completed. This helps build trust and credibility with the client, as they know exactly what to expect from us and when.<\/p>\n

Secondly, having an estimated timeline helps us plan and allocate resources effectively. We can ensure that we have the right team members available at the right times, and we can avoid any potential bottlenecks or delays.<\/p>\n

Thirdly, having a timeline helps us manage the project effectively. We can break down the work into smaller, more manageable tasks, and we can track progress against the timeline to ensure we’re staying on track.<\/p>\n

Finally, setting an estimated timeline also allows us to exceed our client’s expectations by delivering the work ahead of schedule. By building in a buffer and estimating a bit longer than what we think it will actually take, we can overdeliver on our promises and impress our clients with our efficiency and speed.<\/p>\n
