Working as a team means we have the same organization pattern. Soccer teams can win if team members don’t play their positions. Basketball teams can run plays if one person does their own thing. This section covers how we operate as a team. <\/p>\n
We welcome your feedback to improve these systems. You will be the ones that will change and guide our future systems. Please provide feedback and help us grow together.<\/p>\n
Please note that this section is full of many videos. We expect you to take your time to process and understand what is covered.<\/p>\n
There are a lot of great project management software out there and we have chosen Podio because of some unique capabilities. We can create a section and adjust how we’d like to store and manage our data. We can also connect just about any item of data with another. Plus there is some great options for automation.<\/p>\n
Podio allows us to communicate within context of our projects and not get lost in chats and emails. Watch this video to get an overview of Podio for our team.<\/p>\n
When setting up your Podio account, we strongly recommend changing your email settings. Instead of relying on email to give you notifications you should open the app regularly or keep a window open on your computer. Keep looking at your notifications inside Podio to know what’s going on and which project has movement. Also download the app on your smartphone so that you can see what’s happening when your away from your computer. Not that you should always be tethered to your work but sending a quick message about a project can save other team members and the client a lot of time.<\/p>\n
The first stages of a client in our management system is with the Leads and then Client sections. This video walks you through those two areas. This is mostly for managers and those helping develop new business.<\/p>\n
The Project section is the core of where most everyone will work. It’s critical that you understand what the different pieces mean and how they are to be used. This first video covers Projects as a whole and the next video will give you a fuller understanding of it within context of a day-to-day view.<\/p>\n
When clients give us specific instructions on how they want things, or we determine a process that works well for a client, we track all of that information in the Client Preferences section in Podio. Let’s walk through it:<\/p>\n
There are several other apps inside Podio and in this video we’ll go through those and how you can and should access these.<\/p>\n<\/p>\n
For most all of our project files and assets will be stored in Dropbox. This is our main source. The only other tool we use for file management is Google Drive and that is to hold Docs and Sheets. <\/p>\n
Here’s a video that walks through how we organize and use Dropbox. It is crucial that we follow this organization so that anyone can open a project and know where to find projects.<\/p>\n

It’s important to learn about the client library. Basically any asset that will be used from project project will be stored in the client library folders.
